KLA's Event Logistics
Course
KLA will mark and cone in accordance with local standards. KLA will plan, layout and designate the placement of police officers, volunteers, water stops, mile markers, a time-line for street closings and re-openings and alerts to businesses.
Start Line
KLA will implement, supervise and coordinate all aspects of this area.
Finish Line
KLA uses the DAG Chip Timing System and will provide all equipment to time, score, and produce results, announce names of participants as they finish and list award winners. KLA is self-contained with a mobile 22 foot finish line trailer containing a complete office and timing & equipment storage.
Registration & Packet Pick-Up
KLA will lay-out, help set-up, provide all signage and final instructions necessary for a smooth and speedy procedure for the participants. An experienced and knowledgeable KLA staff person will supervise and instruct the volunteers.
Online Sign Up
KLA has a secure, online service at no charge to the client which is processed completely in-house, or we can work with your chosen service. All entries are incinerated a few months after the event.
Teams
KLA can accommodate teams and provide all necessary print-outs and prepare for team packet pick up.
Course Water Stops
KLA will plan the number needed and the locations, the number of volunteers, tables, cups, etc. required.
Rest & Recovery
KLA will plan, lay-out and supervise the volunteers. KLA will provide all equipment (except tables) necessary to perform safe and sanitary conditions for the volunteers and participants.
Safety
KLA will arrange for off-duty police officers, suggest locations and provide all necessary information to them.
Cones
KLA will arrange for pick-up, placement, removal and return.
Tents
If needed, KLA will provide you the number and size of tent(s). You may order, or if requested, KLA will make all arrangements.
T-Shirts
KLA will provide you the quantities and sizes. You may order, or KLA will order, pick-up and deliver to race location.
Banners / Signage
If requested, KLA will order your and/or sponsor(s) custom banners.
Bib Numbers
KLA will order either generic or custom logo’d bibs.
Race Equipment
KLA will provide an itemized list of all event materials, i.e. tables, chairs, etc. that will be required for The Event.
Timing – Scoring – Awards Ceremony – Results
During the race, KLA will provide periodic posting of the un-official results near the R&R area. An award winners print-out will be available no later than 15 minutes after the last finisher. Immediately after The Event, each timed finisher will receive by email their individual results and all results will be posted on our website.
Volunteers
KLA will provide to The Client’s Volunteer Coordinator the number of volunteers required, per duty, time of arrival, time of completion and a brief description of their duties.
KLA’s Volunteer Coordinator will communicate and work closely with The Client’s Volunteer Coordinator. KLA’s staff will take the volunteers to, instruct and return them from their duty stations.
KLA’s coordinator will supervise and instruct your volunteers on race day.
Emergency Preparedness
In the event of an emergency or death caused by weather, faulty equipment, human error, etc., KLA will provide a plan to be implemented in such case. The approved plan will be provided to The Client with copies to all emergency personnel, committee chairs and communications.
KLA will also plan for pick-up of non emergency injured participants and volunteers.
Medical
KLA will arrange medical coverage consisting of medical personnel covering the course on bikes, emergency equipment and staff located at the start, finish, and rest & recover area.
Master of Ceremonies
KLA’s experienced and professional M.C. will make the general announcements, opening ceremony, starts and award ceremony.
Time-Line / Scripts / Schedules
KLA will produce the scripts and schedules for The Event. The Client will be responsible for scripting The Client’s speakers, VIP’s, etc.
